Terms of Use

These terms of use govern the WBS Guardianship website, the family portal and our staff application (together, the “online services”). By using them you agree to these terms.
1. Who we are
The online services are operated by WBS Guardianship, the UK educational guardianship service of Which British School. You can contact us at guardians@whichbritishschool.com.
WBS Guardianship and Which British School are operated by Which Independent Schools Ltd., a company registered in England and Wales under company number 09287591, with its registered office at 71-75 Shelton Street, London, WC2H 9JQ, United Kingdom.
2. These terms and your guardianship agreement
The guardianship service itself is governed by the written guardianship agreement signed by your family. These terms cover only your use of the online services. If the two ever conflict, the guardianship agreement prevails.
Content on the public website is general information about our service and does not form part of any contract.
3. Accounts and access
Access to the family portal and staff application is by invitation only. Sign-in links and credentials are personal to you: do not share them, and tell us immediately at guardians@whichbritishschool.com if you believe your access has been compromised.
Because the services hold information about children, we may suspend or withdraw access where we reasonably believe it is necessary to protect that information.
4. Acceptable use
When using the online services you agree to:
- Access only the information you are entitled to see — your own child's record as a parent, or the records your role requires as a member of staff.
- Treat information about children as confidential and not share it beyond those who need it for the child's care.
- Not attempt to gain unauthorised access to, probe or test the security of the services.
- Not copy, scrape or extract data from the services, or use them to build another product.
- Not upload false or misleading information, or anything unlawful or harmful.
5. Information in the portal
We maintain records with professional care, but information in the portal — travel status in particular — can lag behind events. The portal is there for reassurance and record; it is not a substitute for contacting us.
In an emergency, always use the 24/7 emergency line your family was given at enrolment. If someone is in immediate danger, call 999.
6. Availability and changes
We may update, change or withdraw features of the online services, and may suspend them for maintenance or security. We do not guarantee they will always be available or uninterrupted.
7. Intellectual property
The online services and their content — text, design, logos and software — belong to us or our licensors. You may not reuse them without our written permission, except as needed to use the services normally.
8. Our responsibility to you
Nothing in these terms excludes or limits liability that cannot be excluded under English law, including for death or personal injury caused by negligence, or for fraud.
Otherwise, we are not liable for losses arising from your use of, or inability to use, the online services that were not a foreseeable result of our breach of these terms. Nothing here affects your rights under the guardianship agreement or your statutory rights.
9. Privacy
How we handle personal information is set out in our Privacy Policy and Cookie Policy, which form part of these terms.
10. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction — though if you live elsewhere you may benefit from mandatory protections of your local law.
