Common questions from parents

Everything below is also available inside the family portal under Help.

Signing in to the family portal

Your guardianship team invites you to the portal by email. To sign in, enter your email address and we send you a secure one-time link — there is no password to remember.

Sign-in links are personal and expire quickly. If yours has expired, simply request a new one. If another parent or carer needs access, ask your guardianship team to invite them.

Where is my child right now?

The portal home screen shows each of your children and their current status — at school, staying with a host family, or travelling — based on the confirmed records your guardianship team maintains.

Reports and visit updates

Your child's page brings together the latest school reports, our guardians' visit reports (with photos), and the plan for upcoming school holidays — one calm timeline instead of scattered emails.

Travel plans and journey updates

Confirmed travel itineraries appear in the portal, including flights and transfers.

When your child travels as an unaccompanied minor, our team records each checkpoint — departed, landed, collected — so you can follow the journey as it happens.

Giving and withdrawing consent

Travel, activity, medical and photo consents are handled in the portal. Each decision is recorded with a timestamp, and you can change a consent at any time — the latest decision always applies.

Medical information

The portal shows the medical summary we hold for your child, so you can check it is right. To update anything, contact your guardianship team — changes are made by our staff so the record stays verified.

English and 中文

The portal and this website are fully bilingual. Use the language switcher in the header to change between English and 简体中文 at any time — your choice is remembered.

Contacting your guardianship team

For everyday questions, email guardians@whichbritishschool.com. For anything urgent, call the 24/7 emergency line shared with you at enrolment — it is answered day and night. If a child is in immediate danger, always call 999 first.

Your family's privacy

You see only your own child's information — this is enforced at the database level, not just hidden in the app. Sensitive identifiers such as passport and visa numbers are never shown in the browser, and internal safeguarding notes are never part of the portal. See our Privacy Policy for the full picture.
